IT for property and facility management companies.
Management companies live on volume: thousands of units, owners and tenants, contractors, invoices and deadlines. The systems that hold this together — property-management software, accounting, ticketing, portals, document archives — have to be integrated, secure and available. That is what we do.
Property-management software
Units, contracts, service charges and settlements — the core system, usually from a specialised vendor, cloud or on-premises.
Accounting and payments
Rent and service charges in, contractor invoices out, annual settlements — with deadlines set by law.
Communication
Owners’ meetings, notices, tenant requests — by post, e-mail, phone and, increasingly, a portal.
Contractors
Work orders, quotes, invoices and inspections across dozens of trades.
Documents
Contracts, meeting minutes, plans and invoices with retention periods of many years.
Staff
Several small offices and field staff on mobile devices, all needing the same systems.
Owner and tenant portal
- Requests, documents, meeting materials and statements in one place
- Status of every request visible to the person who raised it
- Integrated with the core system, so nothing is typed twice
Ticketing and work orders
- From request to contractor to invoice, with status for everyone involved
- Photos, approvals and deadlines tracked
- Reporting per building and contractor
Integration
- Portal, property-management software, accounting and document management connected
- Bank statements and invoices matched automatically where possible
Automation and AI
- Incoming invoices and letters read and pre-sorted
- Requests categorised and routed; standard replies drafted for staff to review (see Assistants and automation)
- Reminders and deadline tracking
Managed IT and security
- Microsoft 365, devices for field staff, MFA, backups
- GDPR for tenant and owner data: access control, logging, retention, processor agreements
Hosting
- Portals and integrations on managed cloud in the EU
- Availability and backups for the systems the office depends on
Assessment weeks 1–3
Systems, interfaces, data flows, staff devices, backups, access rights.
Stabilise weeks 3–8
Managed IT and security baseline: MFA, backups, devices, e-mail protection, documentation.
Portal and integration months 3–8
Specified with your staff, built, connected to the core system and accounting, launched to owners and tenants.
Operation monthly
Service desk, monitoring, hosting, further automation.
Our core system comes from a specialised vendor.
Most have interfaces, exports or database access. We build around them without touching the vendor’s responsibility, and coordinate with the vendor where needed.
How is tenant data protected?
Tenant and owner data is personal data under GDPR. We implement access control, logging, retention and processor agreements, and document them so you can answer requests and audits.
Can AI help with incoming mail?
Yes — classification, extraction of invoice data and drafting of standard answers, always with staff review. A typical pilot takes six to eight weeks.
